Etsy listing CSV errors: how to check and clean your listings export
Common Etsy listings CSV errors (long titles, price formats, Excel SKUs, image links) and how to check and clean your export.
Published · Updated
Many Etsy sellers download their listings as a CSV, hand it to a VA or open it in Excel for bulk edits, and then use it to update listings by hand or with a third-party tool. Somewhere along the way the file picks up problems: titles over the limit, prices like $1,299.00, SKUs turned into 1.23E+15, Google Drive links where image URLs should be.
One thing to know first: Etsy's own help says there's no bulk listing creation by CSV upload on Etsy itself. The CSV is an export you work from. The goal is a clean, trustworthy sheet before anyone copies from it.
Here's a checklist you can run in any spreadsheet.
1. Open the file safely
Excel mangles CSVs when it guesses column types. Instead of double-clicking, use Data → From Text/CSV and set the SKU column (and any ID columns) to Text. That stops long numbers turning into scientific notation. Once a SKU shows as 1.23E+15, the original digits are gone, so fix it in the source sheet rather than guessing.
If characters show up as é or similar, the file was saved in the wrong encoding. Re-save as CSV UTF-8.
2. Titles
- Etsy titles have a 140-character limit. Add a helper column with
=LEN(A2)and filter for anything over 140. - Look for titles in ALL CAPS and promo phrases like "FREE SHIPPING". Tone it down and keep the words shoppers actually search for.
- Trim leading and trailing spaces (
=TRIM()).
3. Tags and materials
- Up to 13 tags, each 20 characters max. Materials: up to 13, each up to 45 characters.
- Pick one separator and use it throughout. A file with both commas and pipes is a common VA mistake.
- Remove empty tokens and duplicates, and rewrite any tag that's really a sentence.
4. Price, currency and quantity
- Price should be a plain positive decimal with a dot:
24.50, not$24,50or1,299.00 USD. Strip currency symbols and thousands separators. - Currency codes should be three uppercase letters (
USD,EUR,GBP). - Quantity should be a whole number of 1 or more. A
0usually means someone forgot to restock.
5. Images
- The export usually has IMAGE1–IMAGE10 columns. Make sure IMAGE1 is filled and that there are no gaps (IMAGE3 filled but IMAGE2 empty).
- Google Drive and Dropbox share links aren't direct image URLs. Replace them with publicly fetchable
https://image links in your own workflow.
6. Descriptions and variations
- Look for HTML tags or off-platform links pasted into descriptions.
- Variations: at most two axes, and Variation 2 shouldn't be filled if Variation 1 is empty.
- Check for duplicate SKUs and duplicate titles. They usually mean a row was copied and never edited.
7. Save correctly
Save as CSV UTF-8 and keep the original export untouched next to your edited copy, so you can always compare the two.
Doing it faster: Etsy Listing CSV Fixer
Running that checklist by hand on a few hundred rows takes a whole afternoon. Etsy Listing CSV Fixer is a single offline HTML file that runs these checks on an Etsy-style listings export in one go. Drop in the CSV (UTF-8, BOM or Excel sep= line are all fine) and you get a summary of errors, warnings and auto-fixes. You can filter rows and expand them for field-level notes.
Safe fixes always run: trimming whitespace, stripping currency symbols from prices, normalizing tag and material separators and removing duplicates, uppercasing currency codes, and fixing quoting and encoding on download. Truncating titles to 140 characters, or tags and materials to their limits, is opt-in and off by default. Everything else is flagged as a warning rather than changed silently: ALL CAPS or promo titles, scientific-notation SKUs, image gaps and share links, variation problems, duplicates, and HTML in descriptions. You download a cleaned CSV and an issue report.
To be clear about what it isn't: it doesn't upload, create or publish anything on Etsy, it isn't an official Etsy importer, and it doesn't fetch images (it checks URL shape only). It runs locally with no account and no upload.
