How to get Bandcamp sales into Xero or Wave (and why "amount you received" shows 0)
Get Bandcamp sales into Xero or Wave, and learn why "amount you received" shows 0 since Enhanced Payments. Step-by-step guide.
Published · Updated
Bandcamp gives you a detailed raw sales report, but it isn't in a shape your accounting software understands. Many artists and labels open it and hit the same puzzle: since Bandcamp's Enhanced Payments change in mid-2024, sale rows often show amount you received = 0. The money hasn't disappeared. It shows up on separate payout rows. Once you understand that, reconciling Bandcamp in Xero or Wave gets much easier.
Here's how to do it by hand.
Step 1: Download the raw data sales report
In Bandcamp go to Tools and download the raw data sales report as CSV, for the period you're closing. Keep an untouched copy. The Bandcamp Help article "Reading your raw data sales report" explains each column.
Step 2: Sort rows by what they are
Filter on the item type column and group rows into:
- Sales: album, track, package (merch) rows
- Payouts: money sent to your PayPal or bank
- Refunds and reversals
- Other: anything else, which you review by hand
Step 3: Choose your view (bank vs. accrual)
This is the key decision, and it's where most spreadsheets get double-counted:
- Bank view: book one line per payout, because that's what actually lands in your bank or PayPal. Skip individual sale rows; they're already included in the payout. This is what you match against bank feeds in Xero or Wave.
- Accrual view: book one line per sale using the
net amountcolumn, with refunds and reversals as negative amounts. This shows revenue per release and fee detail, which is useful for a P&L or for paying collaborators.
Don't import both into the same bank account, or your income will be counted twice.
Step 4: Build the lines
Bank view: for each payout row record the date, the amount (amount you received, or net amount if that's empty), a payee such as "Bandcamp", a description like "Bandcamp payout 2026-09-01", and the transaction ID as a reference. If transfer fees appear, add them as separate negative expense lines.
Accrual view: for each sale record the date, artist, item type and name, currency, gross, fees, revenue share and net amount. If the transaction fee shows as *, it hadn't settled when you exported. Leave it blank and note it rather than guessing.
Step 5: Watch the currency
If fans paid in more than one currency, split the sheet by currency before importing into a bank account. Don't mix USD and EUR rows in one statement.
Step 6: Format for your software
- Xero: use the bank statement import layout (date, amount, payee, description, reference) for the bank view.
- Wave: match the headings on your Wave Connect input sheet.
- Accountant: a plain P&L sheet from the accrual view is usually enough.
Import as drafts or unreconciled lines and review before approving.
Step 7: Artist splits (labels and collectives)
If you share income, take each sale's net amount × the artist's percentage. Split sales, not payouts. Make sure every artist on a sale row has a percentage; otherwise a lookup can quietly give them 0%.
Doing it faster: Bandcamp Sales Clean
Bandcamp Sales Clean is a single offline HTML file that does Steps 2–7. Drop in the raw sales report and it checks the official Bandcamp columns (and refuses files that don't match rather than guessing). It sorts rows into sale, payout, reversal, refund or other, and lets you choose:
- Bank view: one line per payout, with optional transfer-fee lines
- Accrual view: sale, refund and reversal lines by
net amount
Download Xero Bank Statement, Wave Connect-ready or Generic P&L CSVs. There are date, item-type and currency filters. It warns about multiple currencies and pending * fees (fee left blank). Add an artist,share_pct map to get a splits CSV; an unmatched artist is flagged as an error and blocks the splits download instead of defaulting to 0%.
There's no Bandcamp, Xero or Wave login, and it's not tax advice. Fan emails in the report never leave your laptop.
