How to export Stripe to QuickBooks as journal entries (one per payout or day)

How to export Stripe data and get it into QuickBooks Online as balanced journal entries: which Stripe report to download, a clearing account, and a CSV you can import.

Published

Short answer: download the balance (balance transactions) report from Stripe, not just the payments list, because it holds charges, fees, refunds, disputes and payouts on separate rows. Group those rows per payout (or per day), turn each group into one balanced journal entry that runs through a Stripe Clearing account, save it as a journal entry CSV and import it in QuickBooks Online.

Steps

  1. Create the accounts once: Stripe Clearing (asset), Sales (income), Stripe Fees (expense), Refunds or Sales returns, and your real bank account.
  2. Export from Stripe: in the Stripe Dashboard, go to Reports → Balance (or Balance → export balance transactions) and download a CSV for the period. Keep the gross, fee, net, type or reporting category and payout columns.
  3. Group the rows per payout or per day, and total each category: charges, fees, refunds, disputes, payout.
  4. Write one journal per group: charges Dr Clearing / Cr Sales; fees Dr Stripe Fees / Cr Clearing; refunds Dr Refunds / Cr Clearing; payout Dr Bank / Cr Clearing.
  5. Save as CSV with Journal No., Journal Date, Account Name, Description, Debits, Credits, and check each journal number balances on its own.
  6. Import in QuickBooks Online (Settings → Import data → Journal entries), map the columns, and test with one journal first.

Worked example (illustrative numbers only)

Example: one payout made of 300.00 of charges, 9.00 of fees (made-up number) and a 40.00 refund, paid out as 251.00.

Journal No.,Journal Date,Account Name,Description,Debits,Credits
PO-2026-10-15,10/15/2026,Stripe Clearing,Gross charges,300.00,
PO-2026-10-15,10/15/2026,Sales,Gross charges,,300.00
PO-2026-10-15,10/15/2026,Stripe Fees,Stripe fees,9.00,
PO-2026-10-15,10/15/2026,Stripe Clearing,Stripe fees,,9.00
PO-2026-10-15,10/15/2026,Refunds,Refunds,40.00,
PO-2026-10-15,10/15/2026,Stripe Clearing,Refunds,,40.00
PO-2026-10-15,10/15/2026,Business Checking,Payout,251.00,
PO-2026-10-15,10/15/2026,Stripe Clearing,Payout,,251.00

Debits 600.00 = credits 600.00, and Stripe Clearing nets to zero (300 − 9 − 40 − 251 = 0). The 251.00 bank line then matches the deposit on your bank feed, so you match it instead of adding it again.

Common mistakes

  • Booking the bank deposit as sales: income is understated and fees disappear.
  • Using the payments export only: it misses fees, refunds and disputes as separate lines.
  • Recording the payout twice: once from the journal and once from the bank feed. Match the feed to the journal line.
  • Account names that don't match your chart of accounts exactly; see the account not found fix.

FAQ

Which Stripe export should I use for QuickBooks?

The balance transactions (balance) report, because it lists charges, fees, refunds, disputes and payouts as separate rows that tie to each payout.

Should I make one journal per payout or per day?

Either works. Per payout ties straight to the bank deposit; per day is simpler when payouts cover several days. Pick one and stick to it.

Do I need a Stripe Clearing account?

It is the usual approach: everything flows through it and it should return to zero when each payout lands, which shows you anything left unexplained.
