Stripe refunds and chargebacks: how to book them
How to book Stripe refunds and chargebacks (disputes): journal entries for the refund, the disputed amount, the dispute fee, and a won or lost dispute.
Published
Short answer: a refund is money you chose to give back: Dr Refunds / Cr Stripe Clearing, and the original processing fee generally stays an expense. A chargeback (Stripe calls it a dispute) is money the card network pulls back: Stripe takes the disputed amount and usually a dispute fee from your balance. Book the amount to a separate Disputes or Chargebacks account and the fee to Stripe Fees. If you win, Stripe returns the disputed amount and you reverse the first line.
Steps
- Find the rows in your Stripe balance export: refunds, disputes (the amount withdrawn), dispute fees, and dispute reversals (funds returned when you win).
- Refund: Dr Refunds (or Sales returns) / Cr Stripe Clearing for the refunded amount. Leave the original fee entry alone.
- Dispute opened: Dr Chargebacks / Cr Stripe Clearing for the disputed amount; Dr Stripe Fees / Cr Stripe Clearing for the dispute fee.
- Dispute won: Dr Stripe Clearing / Cr Chargebacks for the amount returned. Whether the dispute fee comes back depends on Stripe's current rules for your country, so book only what the export shows.
- Dispute lost: nothing more to book; the chargeback and fee stay as losses.
- Check that Stripe Clearing is back to zero after each payout.
Worked example (illustrative numbers only)
| Event | Journal | Effect on clearing |
|---|---|---|
| Partial refund | Dr Refunds 20.00 / Cr Clearing 20.00 | −20.00 |
| Dispute opened on an 80.00 sale | Dr Chargebacks 80.00 / Cr Clearing 80.00 | −80.00 |
| Dispute fee (made-up 15.00) | Dr Stripe Fees 15.00 / Cr Clearing 15.00 | −15.00 |
| Dispute won, amount returned | Dr Clearing 80.00 / Cr Chargebacks 80.00 | +80.00 |
Use the real fee shown in your own export; Stripe's dispute fee varies by country.
Tips
- Book each event on the date it hits your Stripe balance, which is often a later payout than the sale.
- Keep chargebacks out of your Refunds account so you can see dispute losses separately.
- If your Stripe balance can't cover a refund or dispute, Stripe may debit your bank; book that as Dr Stripe Clearing / Cr Bank.

FAQ
Is a chargeback the same as a refund in the books?
No. Both reduce income, but keep chargebacks in a separate account so dispute losses and dispute fees stay visible.
Does Stripe charge a fee for disputes?
Usually yes, a dispute fee per dispute. The amount and whether it is returned when you win depend on your country; check Stripe's disputes documentation and your export.
Where do disputes show up in the Stripe export?
As separate rows with a dispute type or reporting category, plus a dispute reversal row if funds come back.
