Stripe dispute fee and chargeback: the journal entries in QuickBooks (won and lost)

The exact QuickBooks Online journal entries for a Stripe dispute: when it opens, the dispute fees, and what to book if you win or lose. Based on Stripe's dispute fee rules.

Published

Short answer: when a card dispute opens, Stripe takes the disputed amount and a dispute received fee from your balance. Book Dr Chargebacks / Cr Stripe Clearing for the amount and Dr Stripe Fees (or Dispute Fees) / Cr Stripe Clearing for the fee. If you counter the dispute, a separate dispute countered fee is also taken. If you win, Stripe returns the disputed amount and the countered fee, so you reverse those two. If you lose, you book nothing more. Outside Mexico, Stripe says the dispute received fee is not returned unless your contract says otherwise.

Fee rules summarised from Stripe's How disputes work page as checked on 31 October 2026. Fee amounts vary by country; use the figures in your own export.

What leaves your Stripe balance

MomentWhat Stripe doesTypical balance rows
Dispute opensWithdraws the disputed amount and charges the dispute received feeA dispute row (negative amount, with the fee in the fee column or on its own row)
You counter (submit evidence)Charges a dispute countered fee (not in Mexico or Japan)A fee row linked to the dispute
You winReturns the disputed amount and the countered feeA dispute reversal row (positive)
You lose or acceptKeeps everything already withdrawnNo new row

The exact columns depend on which export you use. In the balance report, look at the reporting_category (for example dispute and dispute_reversal) or type column, and the fee column.

Steps

  1. Create the accounts once: Chargebacks (an income-reducing account, or an expense if your accountant prefers) and Stripe Fees or a Dispute Fees sub-account. Stripe Clearing should already exist; see how to set up a Stripe clearing account.
  2. Dispute opens: Dr Chargebacks / Cr Stripe Clearing for the disputed amount; Dr Dispute Fees / Cr Stripe Clearing for the dispute received fee.
  3. If you counter: Dr Dispute Fees / Cr Stripe Clearing for the dispute countered fee, on the date it hits your balance.
  4. If you win: Dr Stripe Clearing / Cr Chargebacks for the returned amount, and Dr Stripe Clearing / Cr Dispute Fees for the returned countered fee. Leave the received fee as an expense.
  5. If you lose: book nothing more. The chargeback and the fees stay where they are.
  6. Check that Stripe Clearing returns to zero when the payout that contains these rows lands.

Worked example (illustrative numbers only)

Example: a 120.00 sale is disputed. The fee amounts below are made up for the example (15.00 received fee, 15.00 countered fee); your real fees are in your Stripe export and on Stripe's pricing page for your country.

Journal No.,Journal Date,Account Name,Description,Debits,Credits
DSP-OPEN,10/05/2026,Chargebacks,Dispute opened,120.00,
DSP-OPEN,10/05/2026,Stripe Clearing,Dispute opened,,120.00
DSP-OPEN,10/05/2026,Dispute Fees,Dispute received fee,15.00,
DSP-OPEN,10/05/2026,Stripe Clearing,Dispute received fee,,15.00
DSP-CNTR,10/09/2026,Dispute Fees,Dispute countered fee,15.00,
DSP-CNTR,10/09/2026,Stripe Clearing,Dispute countered fee,,15.00

If you win (amount and countered fee returned):

Journal No.,Journal Date,Account Name,Description,Debits,Credits
DSP-WON,12/01/2026,Stripe Clearing,Dispute won - amount returned,120.00,
DSP-WON,12/01/2026,Chargebacks,Dispute won - amount returned,,120.00
DSP-WON,12/01/2026,Stripe Clearing,Countered fee returned,15.00,
DSP-WON,12/01/2026,Dispute Fees,Countered fee returned,,15.00

Net effect after a win: only the 15.00 received fee stays as a cost. If you lose, there is no further entry: 120.00 stays in Chargebacks and 30.00 in Dispute Fees.

Common mistakes

  • Booking the dispute as a refund. It works numerically, but you lose sight of dispute losses. Keep a separate Chargebacks account.
  • Reversing the dispute received fee after a win. Outside Mexico, Stripe doesn't return it unless your contract says so; book only what your export shows.
  • Booking the win on the original sale date. Book it on the date the reversal hits your Stripe balance, which can be months later.
  • Forgetting that the dispute row reduces a later payout, so the deposit looks short. See why your Stripe payout doesn't match your bank deposit.

For refunds (which work differently from disputes), see Stripe refunds and chargebacks: how to book them and Stripe refund fees.

FAQ

Does Stripe refund the dispute fee if I win?

Stripe returns the dispute countered fee if you win. Unless your Stripe contract says otherwise, it does not return the dispute received fee, except that businesses in Mexico might get it back. Check Stripe's disputes documentation for your country.

Should chargebacks go to an expense or a contra-income account?

Either is common. Many bookkeepers use a contra-income account (like Refunds) so sales show net, with dispute fees under fees. Agree the choice with your accountant and keep it consistent.

What is a dispute reversal in the Stripe export?

The row that returns funds to your balance when you win a dispute. Book it as Dr Stripe Clearing and credit the accounts you debited when the dispute opened.

Can I import these entries as a CSV?

Yes. QuickBooks Online imports journal entries from CSV as long as each journal number balances and the account names match your chart of accounts exactly.
